AI process automation

They sort out email and documents. We start with one process, measure the result and only then scale.

Which processes are worth automating

The best candidates are repetitive, based on text or documents, and take up more of your team's time than they are worth. Below are typical cases.

Enquiry and lead qualification

AI reads enquiries from forms and email, assesses their quality, fills in CRM data and passes ready leads to the right person.

Drafts of offers and quotes

Based on the enquiry, price list and previous offers, we prepare a draft that the salesperson only checks and sends.

Email inbox handling

Messages are classified, assigned to people and given a suggested reply. The team approves instead of writing from scratch.

Document processing

Invoices, orders, contracts and scans: we extract the data and pass it to your systems without manual retyping.

Reports and summaries

Regular reports and summaries from many sources are created automatically, ready to read.

Data synchronisation and clean-up

Data in your CRM, shop and accounting system stays consistent, and duplicates and gaps are caught as they happen.

Not every process needs AI

The biggest mistake is reaching for a language model where a simple rule would do. Here is how we match the approach to the task.

Rules and plain code

Used for
Tasks with clear-cut rules
Predictability
Full
Running cost
Lowest
Control and audit
Simple
Example
Calculating a price from a price list

Language model (LLM)

Used for
Understanding and generating text, classification, summaries
Predictability
High, but not one hundred percent
Running cost
Medium (model usage fee)
Control and audit
Requires logging of responses
Example
Summarising a customer enquiry

AI agent

Used for
Multi-step processes with exceptions
Predictability
Lowest, requires supervision
Running cost
Highest
Control and audit
Requires tracking every step
Example
Gathering data from several systems and preparing a decision

If after our conversation it turns out your process is better done with plain code or an off-the-shelf tool, we'll tell you straight. We use a language model where it genuinely gives an advantage.

How do we work together?

01

Process map

We go through the processes in your company and choose the one where automation gives the biggest effect with the least risk.

02

Defining success

We decide what we measure: time saved, number of errors, response time. Without this it's impossible to judge whether the implementation paid off.

03

Prototype on one process

We build a working version on real data, with human approval. We test on edge cases, not just typical ones.

04

Measurement and decision

We compare the results with the baseline and decide together: roll out, improve or stop at this stage.

05

Production and maintenance

We launch the automation with monitoring and alerts, then develop it and extend it to further processes.

Low-code or code? We match it to the process

Tools such as n8n or Make are great for many tasks. Not every task, however, can sensibly rely on them alone.

A low-code tool is enough if…

  • the process is simple and well described,
  • a mistake doesn't cost much and is easy to fix,
  • the volume is moderate,
  • the integrations fit within ready-made connectors.

We write code if…

  • the process is critical for the company and mistakes are costly,
  • extensive error handling, queues and retries are needed,
  • detailed permissions and a full audit trail are required,
  • we integrate with a system without a ready connector or with a legacy ERP.

In both cases we take care of the same things: logging, monitoring and alerts, error handling, permissions and GDPR compliance, including hosting data in the European Union where you require it. Automation that works in a demo but can't handle exceptions is not an implementation.

Frequently asked questions

Didn't find the answer?

It combines classic automation (rules, integrations) with language models that understand and generate text. This makes it possible to automate tasks based on emails, documents and enquiries that can't be described by rules alone.
A repetitive process based on text or documents that takes up a lot of your team's time and where mistakes are easy to spot. Most often that's handling enquiries, email or documents.
It depends on the process and the number of integrations. We start with a prototype on one process, so the cost is limited and you decide on further development after seeing the results.
A prototype of one process usually takes a few weeks. A full production rollout depends on the number of systems that need to be integrated.
Not where mistakes are costly. We design automations so that a person approves the key steps, while AI prepares ready proposals for them.
Simple processes, yes. For critical processes, high volumes or unusual integrations, code with full error handling, monitoring and audit works better.
We apply access control, logging and GDPR compliance. Where you require it, data is processed and hosted in the European Union.
Every model response is logged, and uncertain cases go to a person. We analyse errors and improve the automation so they don't happen again.
Yes, including custom and legacy systems. If the system has an API or a documented database, we can connect to it.
We'll tell you straight and propose a simpler solution: plain code or an off-the-shelf tool. We only use a language model where it genuinely gives an advantage.
Yes. We monitor their operation, respond to alerts, update integrations and extend automations to further processes.

Miałam okazję współpracować z nimi z ramienia dwóch firm i w zupełnie różnych tematycznie branżach.

Dziękuję i polecam!

Malwina Piotrowska

Opinia Google

Zlecenie polegało na unowocześnieniu szaty graficznej firmy, chłopaki jednak od nowa napisali całą stronę dzieki czemu stała się wreszcie zauważalna w internecie i dotarła do szerszego grona konsumentów. Szybkość wykonania usługi na najwyższym poziomie.
